OPPORTUNITIES

Roles may vary according to the volunteer’s availability and event needs.

Presiding Chair

  • Prior to the meeting, contact the speaker, confirm arrangements, and finalize equipment and handout requests. On-site serves as host to speaker and introduces speaker to audience.
  • Time Commitment Required: Minimum of 3 hours onsite, a couple of phone calls prior.



Room Coordinator

  • Responsible for lecture room prior to and during the lecture. Check on handouts and equipment. Check and collect tickets, name badges, distribute course evaluations. Monitor audiovisual, lighting, and temperature.
  • Time Commitment Required: Minimum of 3 hours onsite.



Hospitality

Special Guest Lounge Host

  • Clinician and volunteer breakfasts and lunches will be served on the Exhibit Floor at the VIP/Volunteer/Clinician Lounge Thursday through Saturday. Welcome people as they arrive and monitor food and seating.
  • Time Commitment Required: 2-3 hours onsite.

Special Guest Desk Volunteers

  • Distribute packets for VIPs and clinicians at the Special Guest Desk in the BCEC. Also monitor ribbon distribution for various committees and VIPs, as well as scout passes.
  • Time Commitment Required: 2-3 hours onsite.

Special Events

  • Awards Ceremony
  • Opening Night Party
  • Time Commitment Required: 2-3 hours onsite.



General Arrangements

Information Line Operator
  • Man the Yankee Dental Congress information line in the show office. Answer attendee questions, forward calls, or take messages for appropriate personnel.
  • Time Commitment Required: Minimum time commitment varies from 2-3 hours.

Information Booth Host

  • Staff one of the many information booths throughout the BCEC, and answer attendee questions.
  • Time Commitment Required: Minimum of 3 hours onsite.

Exhibits

  • Exhibits volunteers assist Yankee personnel with exhibitor registration and exhibit hall traffic builders. Tasks can include assisting exhibitors with registering and assisting staff with crowd control; monitoring exhibit hall contests; escorting celebrity look-a-likes and special guests, and taking souvenir photographs for attendees; and assisting with other tasks as needed.
  • Time Commitment Required: Minimum time commitment varies from 2-4 hours to 1/2 or full day.



Special Events

Special events volunteers assist Yankee staff with a wide variety of tasks such as pre-event set-up, ticket collection, etc.

Event Chair

  • Contact speaker 3 weeks prior to event. Confirm audiovisual requirements, biographical information, review travel arrangements, including hotel and parking. Contact On-Site Coordinator 3 weeks prior to event to introduce yourself. Arrange to meet speaker and On-site Coordinator at the lecture room at least 45 minutes prior to program start time. Introduce speaker to the audience and present certificate at end of lecture.
  • Time Commitment Required: Minimum of a few phone calls prior to Yankee and 3 hours onsite.

On-Site Coordinator

  • Monitor audiovisual, lighting and temperature, check name badges, collect tickets, and distribute and collect evaluations. Report to lecture room at least 45 minutes prior to program start time.
  • Time Commitment Required: Minimum of 3 hours onsite.

Tour Coordinator

  • Report to bus departure area at least 30 minutes prior to departure time. Check that bus has arrived and watch for tour participants. Collect tickets, and distribute and collect evaluations.
  • Time Commitment Required: Minimum of 3 hours onsite.



Registration

Registration Assistants
  • Help support the registration process behind the counter by distributing tickets, badges, badge holders, and restocking program books.
  • Time Commitment Required: Half-day shifts—am & pm—exact times dependent on registration hours.

Floor Walkers

  • Assist in keeping the lines moving by directing attendees to appropriate registration areas
  • Time Commitment Required: Half-day shifts —am & pm—exact times dependent on registration hours.
